Overview

Odoo's standard Point of Sale largely treats every cashier the same. The practical consequence is familiar: the person who should not be issuing refunds, editing prices or deleting orders can do all three, and the usual fix is a developer building a custom view per role.

POS Access Management replaces that with configurable rules. You create a POS Access Rule, tick what it permits, and assign it to a user or an employee — optionally scoped to particular POS configurations, so a supervisor can hold different permissions at different shops.

The control is granular rather than a single on/off. Payment buttons and methods, order deletion, customer creation and editing, product creation, pricelists, refunds, quotations, transfers, fiscal positions, backend access, closing the register, cash in and out, and the numpad's price, quantity, discount and +/- keys can each be permitted or withheld. Staff can also be limited to their own orders or customers and to specific POS categories.

For Odoo Restaurant POS there is a further set: split bills, printed bills, internal notes, guests, floors, tables, courses, takeout, shared open orders and order information.

Key features

  • Configurable POS Access Rules

Create named rules that describe what a cashier may do, then assign them — rather than building a custom view for each role.

  • Assign by user or employee

Rules attach to individual Odoo Users or Employees, so permissions follow the person who is actually on the till.

  • Scope rules to specific POS configurations

A rule can be limited to particular Point of Sale configurations, letting the same person hold different permissions at different shops.

  • Granular interface control

Permit or withhold payment buttons and methods, order deletion, customer creation and editing, product creation, pricelists, refunds, quotations, transfers and fiscal positions.

  • Register and cash controls

Control backend access, closing the register, and cash in and out — the operations where a mistake is expensive to unpick.

  • Numpad restrictions

Restrict the numpad's price, quantity, discount and +/- functions so a cashier cannot change a line's value at the till.

  • Own orders and customers only

Limit a user to the orders or customers they created, and to specific POS categories.

  • Restaurant POS controls

Additional permissions for split bills, printed bills, internal notes, guests, floors, tables, courses, takeout, shared open orders and order information.

Setup & configuration

From install to first call — here is the path.

  1. 1

    Install the module

In Odoo, open Apps, remove the Apps filter, search for “POS Access Management”, and click Install.

  2. 2

    Create a POS Access Rule

Add a rule and tick the Point of Sale functions it permits — payment options, refunds, order deletion, numpad keys, and the rest.

  3. 3

Assign it to users or employees

Attach the rule to the Odoo Users or Employees it applies to, and restrict it to specific POS configurations if the permissions differ by shop.

  4. 4

    Check it at the till

Open a POS session as that cashier and confirm the restricted buttons and numpad functions behave as the rule intends before rolling it out.

Frequently asked questions

  • What can a POS Access Rule control?

Payment buttons and methods, order deletion, customer creation and editing, product creation, pricelists, refunds, quotations, transfers, fiscal positions, backend access, register closing, cash in and out, and numpad functions including price, quantity, discount and the +/- keys.

  • Are rules assigned to users or to employees?

Either. A rule can be attached to individual Odoo Users or to Employees, so it follows whoever is actually working the till.

  • Can one person have different permissions at different shops?

Yes. A rule can be restricted to specific POS configurations, so the same person can hold one set of permissions at one shop and a different set at another.

  • Can a cashier be limited to their own orders?

Yes. Users can be restricted to the orders or customers they created, and to specific POS categories.

  • Does it cover Restaurant POS?

Yes. Odoo Restaurant POS gets additional controls for split bills, printed bills, internal notes, guests, floors, tables, courses, takeout, shared open orders and order information.

  • Do I need custom development for role-based POS access?

No. That is the point of the module — the permissions are configured as rules rather than built as custom views or code for each role.

  • Which Odoo versions are supported?

The module supports Odoo 16.0, 17.0, 18.0, 19.0, and 20.0, in both the Community and Enterprise editions.

  • Is support included?

Yes. The module includes 90 days of bug-fix support, Monday to Friday, 10:00–19:00 IST.
