Are you paying for Odoo users you don't need, or short of licenses and heading into a renewal you haven't budgeted for? A TechUltra consultant goes through your user setup with you, free.
Last reviewed:
What does Odoo count as a paid user?
From Odoo's own pricing page. The second paid line is the one that surprises most companies.
Paid users
- Anyone with access to the Odoo back end to create, view or edit documents.
- An employee record in the Employees app with no linked user. Staff who only clock in at an attendance kiosk can fall here.
- Employees who only report expenses or timesheets, and outside accountants with a login.
Free users
- Customers and suppliers who see their invoices on the portal.
- Website visitors who place eCommerce orders and track deliveries.
What do we check?
- Users who are paid for but no longer log in.
- People who only need portal access, not a back-end login.
- Employee records that count as users without anyone noticing.
- Shared or duplicate logins.
- Your user count against your subscription, before renewal.
- Whether you are on the right plan: Standard, or Custom for Studio, multi-company or the external API.
How does it work?
- 1
Book a 20-minute call at a time that suits you.
- 2
Bring your user list. An export from Odoo's Users screen is enough, or share your screen on the call. We don't need admin access.
- 3
Leave with a list of changes: which logins to remove, who to move to the portal, and whether your plan fits how you use Odoo.
Planning more than a tidy-up? See our Odoo pricing guide for what users and plans cost, Odoo support services for ongoing help, or the Odoo 20 upgrade if your renewal is also a chance to move version.
Odoo license questions
-
Is the Odoo License Health Check really free?
Yes. It is a 20-minute call with a TechUltra consultant and there is no obligation afterwards. We offer it because licence questions are the most common worry we hear from Odoo users, and answering them is the quickest way to show how we work.
-
Do employees without an Odoo login count as paid users?
Under Odoo's current pricing, yes. Odoo's pricing page defines a paid user as someone with back-end access to create, view or edit documents, or "an employee (record in hr application) who has no linked user". That can include staff who only clock in at an attendance kiosk. We check how many of these records you have and whether each one is needed.
-
Which Odoo users are free?
Odoo lists two kinds of free users: customers and suppliers who access their invoices on the portal, and website visitors who place eCommerce orders and track their deliveries. Moving people who only need to see documents onto the portal is often the simplest saving.
-
Do you need access to our Odoo database?
No. An export of your user list is enough, or you can share your screen on the call. We do not need admin access for the check.
-
What if we have more users than our subscription covers?
We show you the gap and your options, such as removing logins nobody uses or moving people to the portal, so you can plan for it before your renewal rather than at it.
-
We run Odoo Community. Does this apply to us?
Odoo Community has no per-user licence fees, so there is nothing to count. The check is for companies on an Odoo Enterprise or Odoo Online subscription. If you are weighing a move from Community to Enterprise, see our Odoo pricing guide for what users would cost.
