Privacy Policy

This policy describes what personal data TechUltra Solutions Pvt Ltd ("TechUltra," "we," "us") collects when you use techultrasolutions.com, why we collect it, how we store it, and what rights you have. It applies to the marketing website only — engagements under contract are governed additionally by a Master Services Agreement and any data-processing addendum we sign with the client.
What we collect
- Contact form submissions — name, work email, company, optional phone, and the message you write. Submitted via Formspree, then forwarded to TechUltra consulting staff.
- Newsletter subscriptions — email address only. Stored with our newsletter provider (Mailchimp / Buttondown — disclosed in the cookie banner once provisioned).
- Consultation bookings — name, email, calendar slot, optional notes. Captured by Cal.com when live booking is enabled.
- Analytics — anonymised aggregated metrics (page views, referrer, rough geolocation by country, device class). Collected by Google Analytics 4 (with IP anonymisation) and Plausible. We do not collect identifiers that can re-identify you across sites.
- AI assistant interactions — when the chat is wired (Phase 2 of the site), prompts and responses are logged for quality assurance. We do not train models on these interactions.
Why we collect it
- To respond to your enquiry or set up a scoping call (legitimate interest).
- To send you the monthly Odoo brief if you subscribed (consent).
- To understand which content visitors find useful and improve it (legitimate interest; anonymised analytics).
- To meet legal obligations — e.g. tax records on completed engagements.
Who has access
Personal data is accessible only to TechUltra staff who need it to do their jobs and to the third-party processors listed above (Formspree, Cal.com, our newsletter provider, Google, Plausible). Each is bound by their own privacy policy and standard data-processing terms.
Where data lives
TechUltra is headquartered in India. Some processors (Google, Cal.com) are US-based; others (Plausible) are EU-based. International transfers rely on the processors' standard contractual clauses where applicable.
How long we keep it
- Contact form submissions — 24 months from submission, or longer if an active engagement results.
- Newsletter subscribers — until you unsubscribe (one-click link in every email).
- Analytics — aggregated and retained per provider defaults (GA4: 14 months; Plausible: 24 months).
- Calendar bookings — until the meeting, then deleted within 30 days unless we kept notes for a follow-up.
Your rights
You can ask us to:
- Confirm what personal data we hold about you.
- Correct anything that's wrong.
- Delete your data (right to erasure).
- Stop processing your data for marketing purposes.
- Export your data in a portable format.
Email privacy@techultrasolutions.com and we will respond within 30 days. If you're in the EU and unsatisfied with our response, you can complain to your local data-protection authority.
