What's new in Odoo 20 Projects & Services

One planner for people, shifts and field work.

37 new features
5 apps covered
29 screenshots

Odoo 20 brings a broad set of updates to the apps that service businesses rely on every day. Project gains printable schedules, a direct path from CRM deals to delivery, and better ways to work with customers through the portal. Planning takes on a much bigger role, because field service now lives inside it, complete with maps, automatic planning and travel billing. Timesheets adds an assistant that suggests entries from tracked activity, and Helpdesk picks up tools to keep tickets moving.

These changes matter most to business owners and managers who coordinate people, time and customer work. Project managers get clearer reporting and smoother handovers. Dispatchers and planners get a single place to schedule technicians and equipment. Employees spend less effort logging hours, and support teams get help spotting tickets that need attention. Below we walk through the most useful updates in each app, followed by a short list of other notable additions.

Employee-specific materials

Planning > Configuration > Materials

A material resource such as a van, a tool or a machine can be given an Assigned To employee in Planning. Whenever that employee is placed on a shift, the material is added automatically to the resources of the same shift. In practice, a technician's van or equipment is booked together with the technician, so planners do not need to add it to each shift separately.

Why it matters Saves planners time by adding an employee's assigned materials to their shifts automatically.

How to use it

  1. Go to Planning > Configuration > Materials.
  2. Set Assigned To on a material.
  3. Assign that employee to a shift to see the material added.

Field Service: auto plan

Planning > Configuration > Settings; Planning > Schedule > By Resource > Actions > Auto Plan

When Field Service is enabled, the Auto Plan action takes into account the geolocation of each customer address. Shifts are matched to technicians with travel distance in mind, in addition to their availability and roles. Planners run it from the By Resource schedule to fill open shifts with technicians who are well placed to reach the customer. The setting is made once in the Planning configuration.

Why it matters Helps dispatchers assign shifts efficiently by factoring in customer locations.

How to use it

  1. Go to Planning > Configuration > Settings and enable Field Service.
  2. Open Planning > Schedule > By Resource.
  3. Click Actions > Auto Plan.

Field Service: customer ratings

Planning > Reporting > Customer Ratings

After an onsite intervention, customers can rate the service. Ratings are collected for each shift and listed in a Customer Ratings menu under Reporting, showing the technician, the customer and the comment left. Managers use this report to follow customer satisfaction for field work. The feature depends on the Field Service and Customer Ratings settings being enabled. Ratings are tied to individual shifts.

Why it matters Helps service companies measure customer satisfaction with onsite interventions.

How to use it

  1. Enable Field Service in Planning > Configuration > Settings.
  2. Enable Customer Ratings.
  3. Go to Planning > Reporting > Customer Ratings.

Field Service: intervention confirmation email

Planning > Configuration > Settings > Operations > Confirmation Email

A Confirmation Email setting in the Planning settings controls whether customers automatically receive an email when their intervention shift is published. The setting also lets the administrator choose which email template is used for that message. It is found in the Operations section of the Planning configuration settings. Administrators set it in the Planning configuration, and it then applies whenever an intervention shift is published to the customer.

Why it matters Lets businesses decide whether customers get automatic confirmation emails for published interventions.

How to use it

  1. Go to Planning > Configuration > Settings.
  2. Open the Operations section.
  3. Set Confirmation Email and choose the email template.

Field Service: live map

Planning > Maps > Live Map

The Live Map in the Planning Maps menu shows where each technician is located, next to the list of their current interventions. Technician positions come from their check-ins with geolocation. Dispatchers use it to see who is where during the day. It requires Field Service to be enabled in the Planning settings. The map is found in the Maps menu of the Planning app.

Why it matters Helps dispatchers see where technicians are right now.

How to use it

  1. Enable Field Service in Planning > Configuration > Settings.
  2. Go to Planning > Maps > Live Map.
  3. Review technician positions and current interventions.

Field Service: map view

Planning > Maps > Timeline

The map timeline, found under Maps > Timeline, combines a map of shift addresses with a timeline of each technician's day. Planners can see where interventions take place and which technicians are free at a given time in one screen. It is available once Field Service is enabled in the Planning settings. Planners use it when deciding which technician to send to a visit.

Why it matters Helps dispatchers match shift locations with technician availability on a map.

How to use it

  1. Enable Field Service in Planning > Configuration > Settings.
  2. Go to Planning > Maps > Timeline.
  3. Compare shift locations with technician availability.

Field Service: report

Planning > (shift) > Print > Field Service Report

Custom fields added with Studio to the worksheet part of a shift are printed on the intervention report. They are also shown on the customer portal, grouped in the same way as on the shift form. This lets companies include their own data in the report given to customers. Field Service and Worksheets must be enabled. The report is printed from the shift.

Why it matters Lets businesses include their custom Studio fields on printed field service reports.

How to use it

  1. Enable Field Service and Worksheets in Planning settings.
  2. Add Studio fields to the shift worksheet.
  3. Print the intervention report from the shift.

Field Service: track customer history

Planning > shift > Equipment > View Shifts

Shifts list the customer's equipment, identified by serial numbers. From an equipment card, a user can open all the shifts performed on that item, giving the full intervention history of the machine. Technicians and planners use this to see past work before a visit. Field Service and Equipment must be enabled. Planners and technicians find View Shifts on the equipment cards shown on the shift form.

Why it matters Helps technicians see past interventions on a customer's equipment.

How to use it

  1. Enable Field Service and Equipment in Planning settings.
  2. Open a shift.
  3. Click View Shifts on an equipment card.

Field Service: travel fees

Planning > Configuration > Settings > Travel Fees

A Travel Fees setting adds travel costs to the invoice of interventions. The administrator chooses between a Fixed Fee based on travel time and a Fee per Distance, and selects the product used to invoice the travel. The fee is then included when interventions are invoiced to the customer. The setting is located in the Travel Fees section of the Planning configuration settings and is used for interventions invoiced to customers.

Why it matters Lets businesses bill customers for travel by distance or a fixed travel-time fee.

How to use it

  1. Go to Planning > Configuration > Settings.
  2. Open Travel Fees.
  3. Choose Fixed Fee or Fee per Distance and the invoicing product.

Field Service: website form

Website > /service-requests; Planning > Schedule > Service Requests

A website page at /service-requests lets customers describe the service they need and enter their address. Each submission becomes an unscheduled shift listed under Schedule > Service Requests, where a dispatcher plans it. Customers cannot book a time slot themselves; scheduling stays with the company. The request form is published on the website, and submitted requests wait in the Service Requests menu until a dispatcher gives them a date and a technician.

Why it matters Lets customers submit service requests online for the team to schedule.

How to use it

  1. Open the website page /service-requests.
  2. Submit a request as a customer.
  3. Go to Planning > Schedule > Service Requests to plan it.

Field Service: worksheets

Planning > Configuration > Worksheet Templates; Shift Templates > Worksheet Template

Worksheet templates define their questions as property fields stored on the template. When a worksheet is filled on a shift, the answers are saved as property values, so no separate Studio model is created for each template. Shift templates have a Worksheet Template field, so shifts created from a shift template come with the right worksheet. Field Service and Worksheets must be enabled.

Why it matters Lets businesses attach custom worksheet templates to shift templates for consistent reporting.

How to use it

  1. Enable Field Service and Worksheets in Planning settings.
  2. Go to Planning > Configuration > Worksheet Templates.
  3. Set a Worksheet Template on a shift template.

Link shifts to tasks

Planning > Planning > All > shift

Shifts linked to a project have a Task field, so planners can schedule the exact project task someone will work on during the shift. The task is selected on the shift form once a project is set. This lets project work be planned at task level rather than only per project. The field is available on shifts that are linked to a project and is set from the shift form in the Planning app.

Why it matters Lets managers connect shifts to the project tasks they cover.

How to use it

  1. Open a shift in Planning.
  2. Set the project.
  3. Select the Task.

Multiple resource assignment

Planning > Planning > All > shift

A single shift can have several resources, including employees and materials. Everyone and everything assigned to the shift shares the same time slot. This is set directly on the shift form by adding more than one resource. For example, a technician and the material they need can be booked on one shift. Planners add the resources from the shift form in the Planning app, and the shift then shows for each of them in the schedule.

Why it matters Lets planners staff one shift with several resources.

How to use it

  1. Open or create a shift in Planning.
  2. Add several resources to the shift.
  3. Save the shift.

Priority shifts

Planning > Planning > All > shift

Field service shifts have a priority level of Low, Medium, High or Urgent, displayed as stars. When Auto Plan runs, it handles higher-priority shifts first, so urgent interventions are assigned before less pressing ones. Field Service must be enabled in the Planning settings. The priority is set on the shift form by clicking the stars, and planners can rely on it so that the most important visits are handled first by the automatic planning.

Why it matters Ensures urgent shifts get scheduled first when using Auto Plan.

How to use it

  1. Enable Field Service in Planning > Configuration > Settings.
  2. Open a shift.
  3. Set the priority stars.

Schedule shifts from side panel

Planning > Schedule > By Resource

The Gantt and Calendar views in Planning include a side panel listing shifts that still need to be scheduled, meaning items without dates such as service requests or sales order lines. A planner drags an item from the panel onto a resource and a time to schedule it. Planners reach this panel from the By Resource schedule and use it to turn waiting requests into dated shifts.

Why it matters Lets planners schedule shifts by dragging them onto the calendar or Gantt.

How to use it

  1. Go to Planning > Schedule > By Resource.
  2. Open the side panel of unscheduled items.
  3. Drag an item onto a resource and time.

Send shifts via WhatsApp

Planning > Configuration > Settings > Send Planning

A Send Planning setting lets the company choose whether schedules are sent by Email or WhatsApp. With WhatsApp selected, published schedules are delivered to employees' work phones using approved WhatsApp templates. The choice is made in the Send Planning section of the Planning settings and applies to schedules sent to employees. Employees then receive their published shifts through the selected channel, and the WhatsApp templates used must be approved.

Why it matters Lets managers send employee schedules directly through WhatsApp.

How to use it

  1. Go to Planning > Configuration > Settings.
  2. Find Send Planning.
  3. Select WhatsApp.

Field Service: customer equipment

Planning > Planning > All > shift

Field Service tracks equipment, meaning serial numbers, installed at customers. Equipment sold with a running subscription is marked Maintained, and this ribbon appears on the equipment in the shift, on the serial number form and in the lists, so technicians know the visit is covered by a contract. A Documents smart button on the shift opens product documents such as manuals and datasheets for the equipment at the customer site.

Why it matters Lets technicians check maintenance contract coverage and equipment documentation from the shift.

How to use it

  1. Enable Field Service in Planning > Configuration > Settings.
  2. Enable Equipment and Maintenance Contracts.
  3. Open a shift with equipment under a running subscription.

Field Service: product barcodes

Planning > shift > Products > Scan button

The product catalog opened from an intervention has a Scan button. When a technician scans a product barcode, the product is added to the shift and is ready to be invoiced. This avoids searching the catalog by hand during a visit. It requires Field Service to be enabled and is used from an intervention in progress. The button is in the catalog reached through the Products button.

Why it matters Lets technicians add products to a shift quickly by scanning barcodes.

How to use it

  1. Enable Field Service in Planning > Configuration > Settings.
  2. Open an intervention in progress and click Products.
  3. Click Scan in the catalog and scan a barcode.

Field Service: routing preferences

Planning > Maps > By Resource > Studio (Routing option)

Map views have a routing attribute with two values. Ordered draws the route following the records in their listed order, while optimized computes the shortest path. In Studio, this appears as a Routing option in the map view editor. The field service maps use the ordered mode, and a Mapbox token is needed for routes to be drawn. The setting belongs to the map view, not to the planning settings.

Why it matters Helps technicians follow routes in address order or along the shortest path.

How to use it

  1. Go to Planning > Maps > By Resource.
  2. Open Studio and the map view editor.
  3. Set the Routing option; ensure a Mapbox token is configured.

Gantt view: travel times

Planning > Configuration > Settings > Mapbox; Planning > Schedule > By Resource

When a Mapbox token is entered in the Planning settings, the Gantt view calculates the travel time and distance between consecutive interventions. These values are shown next to the shifts, and a popover gives the details. Planners use this information to leave enough time between visits when scheduling technicians. The travel information is displayed in the By Resource schedule, where shifts are shown per technician on the Gantt timeline.

Why it matters Helps planners schedule shifts realistically by showing travel times in the Gantt view.

How to use it

  1. Go to Planning > Configuration > Settings > Mapbox and enter a token.
  2. Open Planning > Schedule > By Resource.
  3. Hover the travel indicator between shifts for details.

Collaborators separated from followers

Project > open project > gear icon > Share Project

Project collaborators are stored separately from followers. A customer can get portal access to a shared project with an access level of View, Edit or Advanced Edit without being made a follower, so they do not receive every notification. Project managers set this from the Share Project option in the project's gear menu. Collaborators can then work in the portal while notifications stay limited.

Why it matters Lets customers access projects in their portal without being added as followers.

How to use it

  1. Open a project and click the gear icon > Share Project.

Assign tasks to portal users

Project > Tasks > open task > Assignees

Portal users can be selected as task assignees. Only portal users who collaborate on the project with Edit or Advanced Edit access appear in the Assignees list. This lets external collaborators, such as customers with portal access, be made responsible for tasks in a shared project. Portal users with only View access are not offered. The assignee is picked by typing the user's name in the task's Assignees field.

Why it matters Lets teams assign project tasks to external portal users who follow the project.

How to use it

  1. Share a project with a portal user using Edit access.
  2. Open a task of that project.
  3. Type the portal user's name in Assignees.

This lets teams share common tracking rules while users keep personal ones. The setting is found in the Applicability section of each rule, under the Timesheets Assistant configuration menu, where rules are created and managed.

Why it matters Lets users share timesheet assistant rules with colleagues or groups, or keep them private.

This keeps brief distractions from breaking the timeline of the work being tracked. The option is in the Tracking Behavior section of each assistant rule in the Timesheets configuration menu.

Why it matters Lets employees record brief interruptions without disrupting their main timeline.

How to use it

The threshold is set separately for each rule in its Tracking Behavior section, under Timesheets > Configuration > Assistant Rules, so different activities can require different minimum durations.

Why it matters Keeps suggestions relevant by showing activities only after they pass a set duration.
